Meeting Room Equipment Guide

Learn about the main components of a modern meeting room, including displays, cameras, microphones, speakers, connectivity, and meeting software.

A modern meeting room is usually built from several technology layers rather than one device.

The equipment required depends on room size, seating arrangement, participant count, meeting platform, and collaboration needs.

1. Display

The display is the visual center of the room.

It may show:

  • Remote participants
  • Presentations
  • Documents
  • Whiteboards
  • Browser content
  • Shared screens

An interactive display adds direct touch interaction.

2. Conference Camera

A conference camera captures people in the meeting room.

Important camera characteristics include:

  • Field of view
  • Resolution
  • Position
  • Zoom
  • Pan and tilt
  • Auto framing
  • Speaker tracking
  • Presenter tracking

Each mode serves a different purpose and has different hardware requirements.

3. Microphone

The microphone captures speech from people in the room.

Microphone choices depend on:

  • Room size
  • Seating layout
  • Distance from participants
  • Ambient noise
  • Acoustic conditions

4. Speakers

Speakers reproduce remote participant audio and meeting content.

Speaker placement and acoustic treatment influence clarity.

5. Audio Processing

Microphone and speaker hardware alone do not determine audio quality. Signal processing is equally important.

Acoustic Echo Cancellation (AEC) prevents the room's speakers from being picked up by the microphones and sent back to remote participants as echo. Without AEC, remote participants hear their own voice reflected back with a delay.

Additional processing technologies include:

  • Noise suppression — reduces consistent background sounds such as HVAC or projector fans
  • Beamforming — focuses the microphone pickup in the direction of the speaker rather than capturing the entire room equally
  • De-reverberation — reduces the effect of room reflections on voice intelligibility

These processing functions are typically built into the microphone hardware or conferencing device and operate independently of the conferencing platform.

6. Meeting Computer or Room Device

Depending on the system, meetings may run on:

  • Dedicated room computers
  • Windows PCs
  • Android room appliances
  • Integrated computing platforms
  • User laptops

7. Connectivity

Common connection methods include:

  • HDMI
  • USB
  • USB-C
  • Ethernet
  • Wi-Fi
  • Bluetooth

The relevant ports and protocols should be checked at the product and application level.

8. Meeting Software

The room requires a software layer to connect participants.

Examples include conferencing and collaboration platforms such as Zoom and Microsoft Teams.

9. Room Management

Modern rooms may add:

  • Room scheduling
  • Device management
  • Remote monitoring
  • Digital signage
  • Room analytics

Putting the System Together

A useful approach is to design from the meeting workflow backward:

Who is meeting?What needs to be displayed?How should participants be seen and heard?Which platform will run the meeting?How will users connect and control the system?

This prevents the room from becoming a collection of devices that do not work well together.
